Map first, then automate
Automating a confusing process only makes the confusion faster. We start with one process, such as new client intake or expense approval, and write down who touches it, what they send, where it waits, and where the same information is typed twice.
Often a few steps can simply be dropped. What remains is clear enough to automate, and staff can see the new version on one page before anything is built.
Where we usually find the biggest gains
These are the areas nonprofit teams most often ask about.
Intake
Replace emailed forms and paper sheets with one online form that writes to a SharePoint list, tells the sender it arrived, and assigns the request to the right person.
Approvals
Route expense, purchase, communications and grant sign-offs through Power Automate approvals in Outlook and Teams, with a record of who approved what and when.
Reporting
Keep program and donor figures in one place so funder and board reports come from the same data. Excel on SharePoint or Power BI can present it.
Case management
Track clients, cases and follow-ups in SharePoint lists or a Power Apps app, with access limited to staff who need it. Larger programs may be better served by Dynamics 365.
Built on Microsoft 365 and the Power Platform
Power Automate, Power Apps and SharePoint work inside the Microsoft 365 account you already manage, so staff sign in once and your administrator keeps control. Some Power Platform features need extra licenses. Microsoft decides what is available to your organization, and we do not put prices on this page.
Privacy and care with client information
Case and client records are sensitive. We check who can open each list, whether multi-factor sign-in is on, and how long records are kept. We are not a law firm and do not give legal advice. Your own rules for confidentiality and funder reporting come first.
Start with free IT help
Our free IT help begins with a short written review. Tell us the process that costs your team the most time. We reply with what we would change first, what we would leave alone, and whether a simple fix is enough. We do not promise hours saved.
Questions we answer first
Do we have to buy new software?
Often not. Many improvements use Microsoft 365 tools you may already have. We say in writing if something would need an added license, and Microsoft sets the terms.
How big a process should we start with?
One. Pick the process that causes the most rework or delay. A small, finished change teaches your team more than a large plan.
Is the free IT help really free?
Yes. There is no charge for the review and no purchase is required.
Where does the form go?
To hello@true.org. We reply to the work email you enter, usually within one business day.
